This role requires a proactive, highly organized professional with exceptional interpersonal skills, strong project management capabilities, and the ability to multitask in a fast-paced environment. Responsibilities:Serve as a trusted liaison between the VP, Brand, key internal stakeholders, and external partners, fostering effective relationships across all levels of the organization.Manage and optimize daily scheduling, meetings, and calendar commitments, proactively adjusting priorities as needed.Oversee email and task management, ensuring timely follow-ups and effective prioritization of incoming requests.Plan, coordinate, and execute meetings, including agenda preparation, logistics, and technology setup.Organize and manage all travel arrangements, including flights, accommodations, ground transportation, and itineraries.Prepare high-quality PowerPoint presentations, reports, and briefing materials for meetings and leadership reviews.Track and reconcile expense reports, ensuring compliance with company policies.Develop and maintain key contact lists, databases, and departmental records.Monitor and provide updates on departmental budgets, ensuring accuracy and efficiency.Support special projects and key initiatives as assigned.Act as a primary point of contact for telecommunications needs, including liaising with IT and external providers for mobile device management.Handle sensitive information with utmost discretion and confidentiality.Perform additional administrative duties as required to support the efficiency of the VP, Brand and broader team.
QualificationsMinimum high school diploma: post-secondary education in Business Administration or a related field is an asset.3+ years of experience in an executive support role, preferably in a corporate environment.Proven ability to manage multiple priorities, work under pressure, and meet deadlines with minimal supervision.Strong initiative, problem-solving skills, and the ability to anticipate needs before they arise.Exceptional interpersonal skills, with the ability to build and maintain relationships at all levels of the organization.Excellent organizational skills, attention to detail, and ability to manage competing priorities effectively.High level of professionalism, discretion, and sound judgment.Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and ability to quickly adapt to new technologies.Strong written and verbal communication skills.Willingness to work flexible hours and occasional travel as needed.
