Robinson Helicopter Company is seeking a Legal / Executive Administrative Assistant with a broad range of administrative, coordination, and document-management responsibilities. This role is ideal for an organized, detail-oriented professional who has experience supporting upper management, attorneys and/or legal teams.
Key Responsibilities
- Provide day-to-day administrative support to the Senior Vice President and in-house counsel (calendar management, meeting coordination, maintaining board meeting minutes).
- Prioritize and coordinate legal and executive requests, exercising judgment to manage competing deadlines and shifting priorities.
- Draft, format, proofread, and route legal and business correspondence and internal communications.
- Provide day-to-day contract and legal document tracking, including maintaining trackers, monitoring deadlines, and ensuring timely follow-ups, including making revisions using red lines for department review.
- Maintain legal case files and document management systems (electronic and hard copy).
- Assist with litigation support tasks (pleadings, discovery organization, hearing/trial prep logistics).
- Manage and track outside counsel and consultant billing (engagement letters, invoice intake, billing documentation, flagging variances, etc.).
- Coordinate with internal stakeholders (sales, operations, leadership) and external partners to support contract execution and follow-up.
- Support contract management and outreach for the Company’s dealership and service center network.
- Prepare and maintain spreadsheets and simple reporting (contract trackers, deadlines, other legal research needs).
- Identify opportunities to improve administrative and document management processes and support implementation of improvements
- Assist with confidential projects for upper management and handle sensitive information with discretion.
Required Qualifications
- High School Diploma, GED or equivalent required.
- 3+ years of experience in a legal assistant, executive administrative assistant, or similar role.
- Strong proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); comfortable learning new systems.
- Excellent written communication, proofreading, and document formatting skills.
- Superior attention to detail.
- Strong organizational skills and ability to manage competing deadlines.
- High discretion and professionalism handling confidential legal and business information.
Preferred Qualifications
- Bachelor’s degree or Associates degree with comparable training focusing on research, writing, and legal terminology.
- Prior experience in a law firm and/or in-house legal department.
- Experience with contract management, document organizational systems, e-billing, and case management tools.
- Familiarity with litigation support and basic legal terminology.
