OVERVIEW
The Coordinator, Special Charter Missions plays a key role in supporting the execution of a government charter program at the field level. This position is responsible for hands-on coordination of mission-critical functions, including ground operations, aircraft servicing, regulatory compliance, and onboard flight support.
Based in Mesa, AZ, the Coordinator works closely with internal departments, airport vendors, and government partners to ensure each mission is safe, compliant, and seamless from departure to arrival. This is a dynamic, multi-functional position ideal for someone who thrives in an operational environment and is passionate about field execution.
RESPONSIBILITIES
- Conduct and document pre-departure aircraft security searches in compliance with TSA and program requirements.
- Oversee aircraft provisioning activities, including catering and equipment checks, ensuring flight readiness.
- Complete and reconcile flight paperwork, including fuel tickets, deicing logs, and aircraft manifests.
- Serve as an on-site Ground Security Coordinator (GSC) during mission flight departures and arrivals.
- Travel onboard select mission flights as an inflight GSC, Avelo Representative, and/or Loadmaster.
- Coordinate and oversee aircraft fueling and deicing operations in collaboration with station vendors.
- Audit and evaluate ground handling and fueling providers for safety, compliance, and service standards.
- Provide field training to ground handling and fueling providers on Avelo procedures and mission-specific protocols.
- Partner with Inflight, Flight Operations, Technical Operations, and OCC to ensure real-time operational alignment.
- Liaise with government agencies and the program’s prime contractor to ensure operational and regulatory compliance.
- Support operational readiness reviews, station preparations, and mission day briefings as directed.
- Perform other duties as assigned.
Requirements
- 2+ years of experience in airline or airport operations, preferably in charter or high-security environments.
- Working knowledge of FAA, TSA, and CBP regulations related to ground operations and flight security.
- Comfortable working in a highly dynamic and fast-paced field environment.
- Strong organizational, problem-solving, and interpersonal skills.
- Proficiency in Microsoft Office, with the ability to learn airline operational tools and systems quickly.
Preferred
- Experience managing or supporting government/military charter programs
- Familiarity with Phoenix-Mesa Gateway Airport operations
- Prior experience serving as a Ground Security Coordinator or Loadmaster.
- Familiarity with government charter programs or DOD missions.
- Experience auditing or training third-party ground service providers.
Skills
- Strong technical knowledge of airport operations systems and processes.
- Proven ability to manage teams and coordinate operations efficiently.
- Excellent problem-solving skills with the ability to diagnose and resolve operational issues quickly.
- Strong communication and organizational skills.
Work Conditions & Requirements
- Up to 75 travel required, including daily travel with a planned start and end in the home base of Mesa, AZ.
- Must be willing to fly onboard aircraft for extended hours and serve as an onboard representative.
- May occasionally require unplanned overnights away from home due to irregular operations.
- Must be willing to work any shift, including nights, weekends, and holidays.
- Must possess a valid U.S. passport and be able to travel domestically and internationally.
- Must have a valid U.S. driver’s license.
- Must be able to pass a DOT drug test and fingerprint-based federal background check in accordance with TSA and FAA requirements.
May perform other responsibilities as assigned. Responsibilities and duties may change based on business needs (e.g., emergencies, changes in workload, etc.).
